This is a fantastic opportunity for an enthusiastic HR professional with a passion for organisation and a keen eye for detail. We are looking for a self-starter who will be owning the delivery of standard HR processes and the full range of employee lifecycle activities from beginning to end.
You will be providing a client focused front-line HR service to all UK employees and providing full administrative support to the London HR Advisory team with the delivery of annual processes and employee-facing activity.
Responsibilities
Owning, delivering, and continually improving the onboarding process and new joiner experience – including pre‑employment checks, internal communication, liaising with new joiners and providing all relevant documentation and system updates and running impactful induction sessions.
Act as the first point of contact for all HR enquiries via the London HR Help Desk, email, phone or in person, delivering service excellence at all times. Providing a responsive and solution focused front-line HR service working to set timelines with a detail orientated right-first-time approach. Offering support on all process and policy related queries and escalating enquiries to the relevant team members where appropriate.
Facilitating the probation process for all UK employees. Being first point of contact for probation and appraisal process related queries, escalating as required.
Conducting exploratory meetings with line managers, providing initial best practice advice on next steps where issues have been identified with regards to probation and absence.
Conducting wellbeing check-ins with employees and coordinating support where required.
Supporting the workplace adjustments process for employees who have a disability, impairment, or long‑term health condition and who may have specific requirements for workplace adjustments to be made to enable them to carry out their roles.
Facilitating all family leave processes, including employee correspondence, DSE assessments, maternity coaching, maternity buddy system and monitoring leave/return dates. Liaising with payroll and conducting meetings with employees scheduled to take or returning from family leave, providing guidance on policies and procedures. Escalating to the Senior HR Advisor where required.
Producing accurate file notes of meetings.
Attending employee relations meetings in the capacity of note-taker. Producing transcripts of meetings for relevant parties.
Coordinating the leaver process, including correspondence with leavers, liaising with relevant stakeholders, and providing timely references as required. Facilitating the leaver feedback survey and supporting with initial analysis data.
Contributing to projects relevant to areas of responsibility and assisting the HR advisory team with project work as and when required.
Administration
Setting up and maintaining all employee records relating to the employee lifecycle.
HR system management including:
Setting up new joiner records accurately in accordance with their contract of employment.
Inputting personal detail changes, holidays, absence, work pattern changes etc.
Facilitating the annual holiday close and carry over process.
Running regular and ad hoc reports.
Providing HR system training to users as part of the HR induction and when required.
Updating the HR Dashboard accurately reflecting joiners, probations, leavers, family leave, flexible working arrangements etc. and ensuring all associated actions are completed in a timely manner in accordance with agreed SLAs.
Ensuring the new joiner tracker and payroll tracker are accurate and up to date at all times.
Accurately producing all employee correspondence and letters relating to the employee lifecycle and annual HR calendar (e.g. contracts of employment, contract variations, salary review letters, family leave, leaver letters etc.).
Archiving and data destruction, ensuring GDPR compliance, following Firm guidelines.
Monitoring sickness and other absence records and identifying any issues.
Preparing various MI to support data and trend analysis.
Qualifications
Minimum of two years’ experience in a HR generalist role (HR Coordinator/Administrator/Assistant)
Passionate about HR and driven to developing their skills and experience in the profession
Experience of facilitating HR processes relative to the full range of employee lifecycle activities
Excellent attention to detail and organisational skills – right-first-time approach
Right first-time mindset
Strong professional communicator (written and oral)
Proven delivery of first-class client service
Confident in presenting to and conducting one-to-one meetings with employees
Experience working with an HR information system
