POSITION OVERVIEW This position supports the efforts of the Firm’s Human Resources (HR) department, working with the HR Operations team to provide a seamless HR Operations service.

JOB RESPONSIBILITIES HR Systems Primary responsibilities are related to accurate and timely data entry into People Soft for new hires, personal changes such as name, phone, address, email, citizenship, visa, education, languages, office/cube updates, teleworker agreements, etc for the London, Paris and Brussels office.

Support the HR Operations team in maintaining / auditing the People Soft database for the London, Paris and Brussels office.

Provide support and guidance to London, Paris and Brussels staff in the use of People Soft, including training new joiners.

Ensure any technical issues with the system are promptly raised.

Support the HR Operations team in testing bug/issue fixes, system enhancements and developments to People Soft.

Provide ad hoc reports to Directors/Managers as and when required.

Work with the US and International offices on the transfer and secondment process.

Provide HR Operations back up for relevant team members in all critical People Soft functions including timecard review.

Run queries out of People Soft to support requests for data.

Respond to employee queries using standard email response templates and monitor London HR Operations inbox.

Payroll Responsible for input in People Soft the monthly changes to payroll data for the London office.

Provide support for the preparation and validation of the monthly payroll information for the London office.

Responsible for running the Deduction Calculation (ded calc) process in People Soft.

Responsible for running the monthly timesheet reconciliation process.

Responsible for running the monthly Associate Vacation reconciliation process.

General Responsible for monitoring, categorising and replying to emails sent to the London HR Operations mailbox and escalating where necessary.

Provide the HR Operations team with general administration on projects and other duties as needed.

Assist the HR Operations team with preparing and reviewing process documentation across the function.

Screen telephone calls and record messages for the HR Operations team.

Schedule meetings, manage diaries and take accurate meeting notes as requested.

Liaising with other departments within the London, International and US offices.

QUALIFICATIONS Education, Work Experience, Skills Previous experience of working with HR systems is essential.

Experience of People Soft in a functional capacity is desirable.

Highly effective writing and communications skills, and the ability to communicate credibly and diplomatically with all levels.

Excellent time management and organisational skills, and the ability to simultaneously manage multiple highly detailed projects.

Interpersonal skills necessary in order to communicate with a diverse group of Attorneys, staff and clients and provide information with ordinary courtesy and tact while safeguarding confidentiality.

Excellent attention to detail and follow-through skills.

High comfort level with stressful job requirements.

Ability to maintain professionalism under pressure.

Ability to keep confidential any information, observations or viewpoints regarding Firm personnel or matters.

Ability to solve problems on an immediate basis and work using initiative.

Ability to perform technical numeric calculations and demonstrate a good understanding of figures.

Ability to demonstrate a flexible and hands-on attitude.

Ability to multi-task, remain focused in a demanding environment and work well under pressure.

Ability to remain customer focused.

Ability to work well within a team.
