Description

Job Purpose
To effectively oversee and manage customer service and supply security from start to finish. This includes ensuring accurate demand forecasts, supply planning, prioritization of supplies, and successful final delivery. Coordinate product supplies to maintain supply security for the EU market while optimizing inventory levels. Support the development of the supply chain strategy and oversee its execution. Prepare and report daily/MIS data to drive focus and improvement.

Key Accountabilities

Business Operations, Customer Service & Logistics
Oversee the entire order-to-delivery process for the Norway and B2 B business.
Participate in weekly stock and LBE calls and provide business teams with updates on incoming supplies.
Handle the transfer of goods between inter-company warehouses and B2 B partner warehouses.
Coordinate the transportation of goods between Cipla warehouses and testing laboratories.
Respond quickly to all inquiries from business teams about product availability.

Warehousing
Setup master data for Stock Keeping Units (SKUs) with third-party logistics providers (3 PLs) for new product launches.
Ensure advance booking of unloading slots at 3 PL warehouses for all incoming domestic/import shipments.
Provide the warehouse with valid packing lists, data logger details, and inbound delivery numbers (IBDs) before each incoming domestic/import shipment.
Carefully compare Goods Receipt Notes (GRNs) against quantities dispatched by vendors, ensuring accuracy in stock lines and resolving any inventory discrepancies.
Monitor 3 PLs to ensure proper use of batch numbers and SKU codes, particularly for customer returns, and verify accurate stock movements in their Warehouse Management Systems (WMS) during quality team's product releases.
Ensure expired samples or stocks are destroyed promptly according to standard operating procedures (SOP).
Support internal and external auditors in conducting stock audits across different warehouses.

In-License Product Management

Oversee in-licensed product operations for the European market.
Collaborate with business teams and provide a rolling 24-month manufacturing forecast to all in-licensing partners regularly.
Analyse monthly forecast trends for any unexpected spikes or declines and confirm that purchase orders in SAP which should cover business demand for the next 6-9 months.
Verify the availability of critical documents during incoming deliveries from any in-licensing partner, including purchase orders, invoices, packing lists, certificates of analysis, certificates of conformity, and transport documentation.
Ensure the collection of quality assurance (QP) samples and photographs for each batch received from in-licensing partners at respective warehouses.
Provide the release request form along with all necessary documents to the quality assurance (QA) team for prompt product release for sales.
Resolve any issues raised by the quality team regarding product release.

Laboratory Operations
Ensure sampling as per sampling plan for each incoming shipment at warehouse.
Timely dispatch of testing samples from warehouse to laboratory.
Ensure acknowledgement of samples receipt at respective laboratory
Get commitment dates from Laboratory for release of batches.
Share visibility of upcoming batches for testing to all Laboratories.
Ensure 100% testing material availability at laboratories and ensure that there is no delay in testing due to material unavailability.

Quality Management
Perform sampling at warehouses according to the sampling plan for each incoming import/domestic shipment at the respective warehouses.
Promptly send testing samples from the warehouse to the laboratory for chemical/micro testing.
Confirm receipt of samples at the appropriate laboratory.
Obtain commitment dates from the laboratory for issuances of COAs (Certificate of analysis)
Provide laboratories with a forecast of upcoming batches for testing.
Ensure laboratories have all necessary testing materials available, avoiding delays in testing due to material shortages.
Co-ordinate with India SCM and manufacturing team for arrangement of testing materials to respective European laboratories.

SAP and SAP Hygiene
Keep precise master data records in SAP for all SKUs.
Facilitate the extension of SKUs to relevant plants codes in SAP for new product launches.
Create sales orders and stock transfer orders in SAP.
Investigate any discrepancies in SAP transactions and resolve them thoroughly.
Maintain data accuracy and synchronization between Cipla's SAP system and 3 PLs' WMS.
Create and establish master data for new customers and vendors in SAP.

MIS
Generate daily reports like in-transit stock reports for incoming shipments, stock reports for 3 PLs, and MIS for pending COA dates from laboratories

Educational qualifications:
Supply Chain Degree (‘Graduate’ or ‘Graduate + MBA’)
Relevant experience:
2+ years of experience in Supply Chain Industry with knowledge on Pharma regulations and framework with strong Interpersonal, collaborative and communication skills is recommended. Proficient in MS-office, data analytics & presentation.
